Event Coordinator (2 positions)
Organization: Nanaimo Foundation
Location: Nanaimo, BC (Hybrid – mix of on-site and remote)
Start Date: June 1, 2026
End Date: July 26, 2026 (8 weeks)
Hours: 35 hours per week
Wage: $21.00 per hour
About the Role
Nanaimo Foundation is seeking two enthusiastic Event Coordinators to support the planning and delivery of a large-scale community event that brings together local charities and community members. This is a hands-on opportunity to gain experience in event planning, communications, and community engagement.
Key Responsibilities
- Assist with planning and coordination of a community “charity showcase” event
- Support outreach and communication with participating organizations
- Help coordinate event logistics (vendors, materials, schedules, setup/teardown)
- Contribute to social media content creation and scheduling
- Assist with storytelling and content development (interviews, highlights, impact stories)
- Support marketing and promotion of the event (digital and print)
- Provide on-site event support, including guest engagement
- Perform general administrative and project support tasks as needed

Administrative Assistant (1 position)

Wage: $20.00 per hour
About the Role
Nanaimo Foundation is seeking an organized and detail-oriented Administrative Assistant to support day-to-day operations, donor services, and internal coordination.
This role is ideal for someone who enjoys keeping things organized, working behind the scenes, and helping systems run smoothly.
Key Responsibilities
- Update donor records, organize files, prepare acknowledgment letters, and assist with stewardship activities
- Maintain and update the donor database (CRM), including data entry, accuracy checks, contact updates, and generating basic reports
- Set up and maintain organized digital and physical filing systems to support efficient internal workflows
- Prepare administrative documents and materials such as meeting packages, correspondence, and spreadsheets
- Support general office coordination, including managing files, tracking information, shared inboxes, and internal communications
- Assist with website updates, document formatting, and preparation of communications materials
- Support donor and community engagement efforts, including preparing thank-you messages and tracking follow-ups
- Assist with Foundation events and community activities, as needed
- Provide general administrative and project support as required
